Sell company records to AI, once they are back in your hands

Years of a company's files often sit with a storage firm or inside a records-management system, each on its own terms. We read 7 documents from 5 of those providers, the newest on 2026-10-28; 4 put ownership of the records with the customer, and 2 describe how the customer takes them back.

The process

  1. Say what form the records take, who holds them and whether the company is trading, closing or already closed.
  2. We check the holder's terms on the board and the law on getting records released, from a storage firm's lien to an office-holder's powers.
  3. We write back with the route that fits: a licence while the company trades, a sale signed by its directors while it is neither in administration nor being wound up, or by its liquidator, administrator or trustee once one acts, or a route agreed with the adviser who referred you.

No storage firm, records service or buyer pays to be listed and the site has no affiliate links. Each answer is our reading of a published document, not legal advice on any storage contract. If a company licenses or sells its records to a buyer we introduce, it pays us 12.5% of the deal, with a minimum, when we act as its exclusive agent, 10%, with a minimum, when its records join a bundle, or 10% when they join the pool, agreed in writing first; any fee a buyer pays us is set against the company's.

The records themselves
  1. What form are most of the records in?

  • Each records enquiry is answered by a person
  • No storage firm on the board learns that you asked
  • Describe the records only: send no files, scans or box lists through the form

One row per storage firm or records-management service whose documents we read, each answer standing on a sentence from the document beside it. Not stated means the documents we read leave the question open; varies means two of a provider's documents answer it differently.Updated

Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 5 vendors, 7 documents.

Frequently asked

Can I sell company records to AI if they are in off-site storage?

Usually, once they are released. 4 of the 5 providers on our board put ownership with the customer: Access has the client warrant it is the owner or legal custodian of the records, and RecordPoint says you maintain ownership of the data you upload. Getting the boxes back is the practical step, and it is priced and noticed. (Records management software data terms: every row, with its source)

Can a storage company keep my records if I owe it money?

It can hold them for its charges. Under UCC 7-209 a warehouse has a lien on stored goods for storage and related charges, and 7-210 lets it enforce that lien by a commercially reasonable sale after notifying those who claim an interest. In England and Wales the Torts (Interference with Goods) Act 1977 lets a bailee require collection and, after written notice, sell uncollected goods. (Records management software data terms: every row, with its source)

What does it take to get records back from a storage firm?

Notice and settled invoices. Access asks for thirty days' written notice to end all services, saying whether the client will collect its records or have them delivered, with all outstanding invoices paid first. Iron Mountain's glossary prices a permanent withdrawal through handling charges for consolidating the deposits being withdrawn. (Records management software data terms: every row, with its source)

Who can sell the records of a company that has closed?

Whoever now controls them. In a UK insolvency, section 234 of the Insolvency Act 1986 lets the court order anyone holding the company's books, papers or records to hand them to the office-holder. In a US bankruptcy, the debtor surrenders recorded information to the trustee and the court can order an attorney or accountant holding such records to turn them over. (Records management software data terms: every row, with its source)

Do records providers use our files to train AI?

Not on what we read. 4 of the 5 providers on our board say nothing about AI training, and Access, the one that does, says it may use AI to improve its own services but that client records will not be copied, exported or exposed to any other client or third party in doing so. (Records management software data terms: every row, with its source)

Who buys company records for AI?

Data partners whose pages ask companies for their files and working history. SimpleClosure's Asset Hub takes workspace data from companies that are shutting down, Appen says a wind-down can often license its complete operating history, and micro1 publishes payments of $150K to over $2M for established companies' operational data. The question this page is here to answer

When a UK company closes down, who decides about its property, records and data at each stage, and what limits apply?

4 of the 5 providers we read put ownership of the records with the customer. Tell us where yours are held and where the company stands, and a person will reply.
